ADMISSION POLICY FOR TRANSFER STUDENTS
School Year 2024 – 2025
All applicants are required to undergo the admissions screening process and will be done onsite. The purpose of the admissions screening process is to determine the eligibility of the applicant for acceptance or non-acceptance of his/her application.
All applicants should have passing grades in all subjects from the previous grade level and in the First and Second Quarter of the current grade level.
Xavier School Nuvali accepts applications for admissions to Grade 1, Grade 7, and Grade 11. Applications for Grades 2,3,4,5,8 and 9 can be accommodated provided that the applicant studied Mandarin previously. We do not accept transfer students for terminal levels: Grade 6, Grade 10 and Grade 12.
The applicant is given the admissions test only once. Re-testing is not allowed.
The submission of admission requirements will all be done online. All documents required for submission must be complete and correct. Otherwise, the application will not be accepted. Note that upon acceptance, hardcopies of all requirements must be submitted to the Registrar’s Office for record-keeping purposes, before the applicant will be allowed to enroll.
Parents will be informed whether or not the applicant is accepted, but the details of actual test scores will remain confidential.
An applicant can succeed in meeting the requirements of the Xavier School Nuvali’s Program if he/she has obtained satisfactory evaluation in the following areas:

The school also takes the following into account:
the willingness of the parents of the student applicant to collaborate actively with the school in the education and formation of the student (which includes the parent’s acceptance of the school policies, especially those found in the student handbook);
the willingness of the applicant and his/her parents to be involved in important school activities;
the extent to which the applicant’s family environment is open to, and supportive of the Catholic Christian values espoused by the school.
The applicant has not been under any major disciplinary status or involved in any major disciplinary case within the last school year.
Passing the entrance examination.
Performance in the current grade level
An applicant with a failing grade in any grading period in SY 2022-23 and SY 2023-24 will NOT BE ACCEPTED.
The following shall be taken into account:
Composite score of the applicant’s previous grades (four [4] quarters)
First quarter grade / semestral / or trimester of the current level
Disciplinary Record
An applicant who has been under any major disciplinary status or was involved in any major disciplinary case within the last school year will NOT BE ACCEPTED.
Application Form
The fully accomplished application form must be signed by both parents. If one parent is unable to sign, indicate the reason on the space provided. Attach a colored ID picture and a colored family picture in the designated spaces.
Data Privacy Agreement Form
The data privacy agreement form must be signed by the parents to signify that they have read, understood, and agree with the Data Privacy Policy of the School.
Student Health Record Form
The Student Health Record Form must be filled out by the parent, your child’s physician, and specialist (for children with special medical conditions). This form has two parts:
Part One (pages 1-2), which includes general health information, will be accomplished by the parents and is required prior to admission testing.
Part Two (pages 3-5), which includes a comprehensive medical checkup as well as vision and hearing screening tests, will be accomplished by a licensed physician/pediatrician and may be deferred until after the results are given. In the event that your child is deemed qualified for admissions, he/she will be placed on conditional acceptance pending submission of all medical requirements.
Recommendation Form
The Recommendation Form should be filled out either by the school head, class adviser or guidance counselor of your child’s current school. Please forward the PDF form to the current school of your child and request them to submit the scanned copy of the accomplished form through an upload facility at https://bit.ly/recoformforxsn.
Therapy Report Form (if applicable)
The therapy/assessment report from the child’s physician/therapist must be attached to the Therapy Report Form if the child has undergone any form of therapy.
Original PSA Birth Certificate
Report Card/Progress Report for the First Term of the current school year (SY 2023-2024). If the report card is not yet available, a Certificate of Enrollment (COE) may be submitted. The COE must indicate the applicant’s Learner’s Reference Number (LRN) and when the first term report card will be available.
Report Card from previous school year (SY 2022-2023)
An applicant coming from a foreign school whose medium of instruction is not English, must have undergone at least one (1) school year of English instruction prior to application to Xavier School Nuvali.
The final Report Card/Evaluation Report must be authenticated (Apostille) by the Philippine Embassy of the country of origin as part of the enrollment requirement.

Step 1: Submission of Admission Forms and Other Required Documents
Visit Xavier School Nuvali website through the links below and download the admission forms at Step 2 in the application procedure.

The forms are provided in an editable PDF format. To get started, download the files and open them using any PDF Reader. We strongly recommend that applicants input all required information by typing directly into the forms. Avoid handwriting to ensure a smooth and efficient processing of the submitted requirements.

Parents will be notified via email in case there are missing requirements. Please allow the admissions team 2-3 days to process the documents. Kindly note that upon acceptance, hard copies of all the documents that were uploaded will be submitted to the Registrar’s Office. You may send an email to xsnadmissions-mail@xsn.edu.ph in case you need to get an update.
Step 2: Confirmation of Grade Level
The grade level you are applying for your child will be confirmed by the Registrar. Upon approval, the parents will be notified via email so they can proceed to the next step.
Step 3: Application and Testing fee payment
Refer to the instructions on how to settle the Application and Testing Fee and send the proof of payment via email to xsnaccounting-mail@xsn.edu.ph. Please allow 2-3 days for the Accounting Office to verify the payment.
Application and Testing Fee (Non-refundable)
Grades 1-4: PhP 1,400
Grades 5-11: PhP 2,000
VIII. ISSUANCE OF TEST PERMIT
The test permit will be sent via email by the Testing and Research Center upon approval of the submitted documents and after verification of payment. This includes the schedule of the admissions test, venue and other important guidelines and procedures for the test. Review the detailed guidelines and reminders indicated in the test permit to ensure a smooth and successful testing administration.
Acknowledgment of receipt of the test permit is also required by accomplishing the Reply Slip/Parental Consent Form attached in the test permit.
All tests will be done onsite.
Testing may be rescheduled only if:
the applicant is sick (a medical certificate from the attending physician is required);
there is death in the family; or
Xavier School calls off classes/offices due to inclement weather or other unforeseen events.
the applicant refuses to take the test. However, if the applicant fails to take the test after three (3) chances have been given, his/her application will automatically be canceled.
To ensure a smooth and successful testing administration, the applicant must strictly follow the testing guidelines and procedures indicated in the test permit.
IX.RELEASE OF THE APPLICATION RESULT
The Admission Result of your child will also be sent via email. The parents are encouraged to regularly check their emails for any further announcements after the admissions test of their child. Results will not be released over the telephone.
Xavier School Nuvali reserves the right to withhold information regarding actual test scores of the applicant and the test administered is solely for the use of Xavier School Nuvali admission purposes only.
X. ENROLLMENT RESERVATION FEE PAYMENT FOR ACCEPTED APPLICANTS
For applicants who have been accepted, the parents are required to pay a reservation fee to express their intention to enroll their child in Xavier School Nuvali. If the reservation fee is not paid within the specified deadline, we will assume that you are no longer interested in your child’s admission to Xavier School Nuvali. The application will then be automatically canceled.
N.B.The acceptance letter will include instructions on how to make the reservation and how to pay the required Reservation Fee. For other concerns regarding the Reservation Fee, please feel free to get in touch with the Accounting Office or School Treasurer at xsnaccounting-mail@xsn.edu.ph
XI. SUBMISSION OF PRINTED COPIES OF ADMISSION FORMS AND OTHER PRE-ENROLLMENT REQUIREMENTS
After the reservation fee payment, submit the following pre-enrollment requirements along with the Admission Forms and other required documents to the Registrar’s Office prior to enrollment:

The school reserves the right to assign the section of accepted applicants.
Class lists detailing the classroom assignment will be posted during the Parent’s Orientation Day.
